With the subdivision and development of the cosmetics market, many brands have chosen OEM/ODM mode to launch water replenishing essence. The choice of factory is directly related to product quality, delivery stability, and brand reputation. The following provides a practical reference for brand owners from three dimensions: factory capability assessment, cooperation conditions, and cooperation processes.
1、 Four dimensions for assessing and judging factory capabilities
1. Production qualification and hardware level
First, check whether the factory holds the Cosmetics Production License, and the licensed items include "essence liquid" or "general liquid unit". Pay attention to the actual production workshop cleanliness level of the factory, and check the automation level of its air purification system, pure water preparation equipment, and filling line. You can apply to visit the production area to observe on-site management details such as material placement, floor cleaning, and personnel dress code. At the same time, inquire about its daily production capacity and order scheduling cycle, and evaluate whether it can meet the brand's first batch of goods and subsequent replenishment pace.
2. R&D and formula reserve capabilities
Understand the size of the factory's R&D team and the years of service of engineers, and ask whether they have experience in independently developing water replenishing essence formula. The factory can be requested to provide its existing mature formula catalog and conduct ingredient analysis on 2-3 of them to see if the combination of moisturizing agents, thickeners, and anti-corrosion systems is reasonable. For specific ingredient additions proposed by the brand (such as hyaluronic acid, plant extracts, etc.), it is necessary to confirm whether the factory has the corresponding raw material supplier resources and compounding technology.
3. Quality control system
Request the factory to provide third-party type inspection reports for their products and check if they have conducted factory inspections on each batch of products. Inquire about the inspection standards for incoming raw materials, online testing items during the production process, and the frequency of microbiological testing for finished products. Randomly check the production records and inspection reports of recent batches of products to observe whether the data is continuous and standardized. Focus on the factory's handling process for non compliant batches.
4. Service and cooperation
Communicate with the business, R&D, and quality personnel of the factory separately to feel their response speed and professionalism. Ask if they provide packaging design assistance, documentation support, and small-scale trial production services. Observing whether the factory is willing to invest time in in-depth discussions with the brand about product positioning and formula direction before cooperation often reflects their willingness to cooperate in the future.
2、 Cooperation conditions and core business terms
When both parties enter the substantive negotiation stage, the following core cooperation conditions need to be clarified:
Minimum order quantity requirement: Each factory has different regulations on the minimum order quantity for a single batch, and the brand needs to evaluate it comprehensively based on their own sales forecast and cash flow capacity.
Price composition: Clarify whether the unit price includes formula fees, sampling fees, testing fees, and packaging assembly fees. Understand the settlement methods for processing fees, raw material fees, and packaging material fees, as well as the ratio of deposit to final payment in the order amount.
Payment terms and payment methods: The usual practice is to prepay a portion of the deposit and pay the remaining balance before shipment. The brand needs to understand whether the factory accepts payment terms and the corresponding credit limit requirements.
Responsibility allocation for packaging materials: Clarify which party provides the packaging materials. If the brand purchases the packaging materials themselves, it is necessary to confirm the factory's incoming inspection standards and the method of bearing the loss rate.
Formula confidentiality and intellectual property rights: Confirm the ownership of the formula. If the formula is exclusively used by the brand, a confidentiality agreement must be signed, and it must be stipulated that the formula cannot be provided to other brand parties.
3、 Standard Cooperation Process
A standardized collaboration process typically consists of the following stages:
Requirement communication: The brand direction factory provides product positioning, core ingredient preferences, target cost ranges, and expected packaging forms.
Sampling and confirmation: The factory prepares samples according to demand and generally provides 2-3 different directions for selection. The brand organizes internal testing or consumer research, provides feedback and adjustment suggestions until the final formula is determined.
Quotation and Contract Signing: The factory provides a formal quotation based on the final formula, packaging process, and order quantity. After mutual agreement, a commissioned processing contract and quality agreement are signed.
Packaging material procurement and inspection: The brand arranges packaging material production or procurement, and after arrival, the factory conducts incoming material inspection to confirm that the quantity and quality meet the requirements.
Trial production and mass production: Some factories will arrange small-scale trial production to confirm that there are no problems in filling, labeling, and other processes before starting mass production.
Factory inspection and delivery: After the completion of the bulk production, the factory conducts a factory inspection according to the standards, issues a qualified report, the brand pays the final payment, and the factory arranges logistics delivery.
