How to choose a suitable OEM factory to customize men's facial cleanser for brands: dimensions, cooperation conditions, and processes to be examined
With the increasing awareness of men's skincare, men's facial cleansers have become a gateway for many brands to enter the personal care category. Choosing a contract manufacturer (OEM/ODM) is not just about comparing quotes, but a systematic evaluation of the factory's research and development capabilities, quality control system, production flexibility, and commercial terms. This article summarizes the dimensions of factory inspection, cooperation thresholds, and standard operating procedures from the perspective of brand owners, for decision-making reference.
1、 Four core dimensions for assessing factory capabilities
Qualifications and hardware facilities
Request the factory's "Cosmetics Production License" and confirm that its license scope includes "general liquid units (facial cleansers)". During on-site visits, observe the air purification level of the production workshop (such as whether the 100000 level purification workshop maintains a positive pressure state), pure water preparation system, emulsification equipment volume, and homogenization speed range. At the same time, pay attention to the storage conditions - whether the raw material warehouse is partitioned (temperature control, light avoidance, hazardous material isolation), and whether the finished product warehouse has moisture-proof measures. These hardware components are directly related to batch stability.
R&D formula reserve and sampling efficiency
Request the factory to provide 3-5 mature formulas for men's facial cleansers (such as soap based compound amino acid type, APG glucoside cleansing system, etc.), and request the INCI list and third-party safety testing reports (such as skin irritation tests). A more feasible way is: the brand can put forward the preference for cleanliness and skin feeling (such as "the skin is less dry after washing", "the foam is dense" and so on), observe whether the factory engineer can provide proofing within the agreed time (usually 7-10 working days), and give the basis for the adjustment of sample odor and material viscosity. The number of sampling times and response speed indirectly reflect the degree of R&D cooperation.
Quality control process and testing equipment
Require the factory to provide batch production records, raw material procurement inspection records, and finished product factory inspection reports. Key focus: whether each batch undergoes internal control testing for pH value, viscosity, effective substance content, and total bacterial count; Is a Fourier transform infrared spectrometer (FTIR) or high-performance liquid chromatography (HPLC) equipped for raw material traceability verification. Factories that can provide microbiological challenge testing data for three consecutive batches of products within the past year have more convincing process control capabilities.
Capacity elasticity and delivery records
Understand the daily production capacity of a single production line in the factory, as well as the time required for changing production (switching between different materials or packaging). Ask for the order history of cooperation with the brand within the past year (which can be desensitized), and observe their response mechanism for minimum order quantity (such as 3000 bottles) and emergency insertion. At the same time, conduct on-site inspections to ensure that the packaging assembly line is equipped with integrated equipment for automatic filling, capping, labeling, and coding, in order to avoid details such as unclear batch numbers or inadequate sealing caused by manual operations.
2、 Cooperation conditions and preliminary preparations
Contract manufacturers usually set initial cooperation thresholds, which mainly include the following terms:
Minimum Order Quantity (MOQ): Most factories have a minimum order quantity of 5000-10000 units for facial cleansers, with some accepting a trial production of 3000 units, but the unit processing fee may increase.
Cost composition: including formula debugging fee (one-time), mold fee (if private mold needs to be opened), processing fee (calculated in milliliters per piece), packaging material procurement management fee, and testing fee. The brand needs to clarify whether the quotation includes value-added tax and logistics costs for delivery to the designated warehouse.
Intellectual property ownership: The ownership of the formula needs to be defined in the contract - if it is an improvement of the existing formula in the factory, the ownership of the improved formula can be negotiated; If core technical requirements are provided to the brand (such as specific plant extract compound ratios), the relevant data and process parameters should be agreed upon as owned by the brand.
Payment terms and settlement: Usually, a 30% -50% deposit is prepaid, and the remaining balance is settled before shipment. After stable cooperation, monthly or quarterly rebates can be negotiated.
3、 Collaboration Process (Six Stages)
Requirement sorting and proposal: The brand provides target audience portraits, usage scenarios (such as daily cleaning or oil control after exercise), packaging capacity, and budget ranges. The factory provides suggestions for formula direction and estimated costs based on this.
Proofing and internal testing: the factory makes 2-3 blind samples, and the brand organizes internal testing (no less than 20 target users) to score the basic formula from the dimensions of foam volume, flushing feeling, skin tightness, etc.
Packaging material adaptation and stability testing: Load the selected material into the proposed packaging material (pump head, hose or bottle), store it for 7 days under high temperature (40 ℃), low temperature (-5 ℃) and cyclic temperature difference conditions, and observe whether there is delamination, bloating or packaging material corrosion. Only after passing this test can we proceed to the next step.
Contract signing and filing preparation: Both parties confirm the price, delivery time, and acceptance criteria (such as appearance defect rate less than 0.5%, net content error of content ≤ ± 2%), and sign a commissioned processing agreement. At the same time, the brand owner needs to provide a trademark registration certificate or acceptance notice, and the factory will assist in completing the cosmetic filing materials (such as full formula ingredients and production process description).
Trial production and sample sealing: Before formal feeding, a small batch trial production (about 5% of the order quantity) is carried out. The brand's on-site personnel randomly select samples and compare them with the sealed standard samples (color, odor, viscosity). After confirmation, both parties sign and seal the samples as the basis for bulk acceptance.
Large scale production, inspection, and delivery: The factory produces according to the schedule, and sets up three checkpoints during the production process: initial inspection, patrol inspection, and finished product inspection. Before shipment, the brand can entrust a third-party inspection agency (such as SGS) to conduct sampling inspection according to AQL standards. After passing the acceptance inspection, the factory issues a delivery note and a copy of the inspection report, and arranges logistics for shipment.
4、 Long term perspective of brand owners
Choosing a contract manufacturer is not only a purchasing behavior, but also an extension of supply chain capabilities. It is suggested that the brand side should hold a quarterly review meeting with the factory after the cooperation of the first order, share market feedback (such as consumers' evaluation of foam fineness or fragrance), and promote formula iteration. At the same time, actively understand the factory's raw material procurement channels and environmental compliance records to ensure sustainable cooperation in the context of increasingly strict regulations.
