  • In the cosmetics industry, the relationship between facial care brands and production factories is not simply a buying and selling relationship, but a two-way selection and long-term collaborative supply chain relationship. Establishing stable and compliant supply cooperation requires the brand to have clear capabilities and preparations in product development, quality control, business processes, and other aspects.

1、 The factory's routine audit dimensions for brand owners

Before accepting brand commissioned production, cosmetics factories will evaluate the feasibility of cooperation from the following aspects:

At the level of qualification compliance: The brand must hold a legal and valid business license, and its business scope includes cosmetics sales or related businesses. If the brand plans to register on its own, it needs to appoint a quality and safety manager and establish a cosmetics quality and safety management system; If the factory is commissioned for filing, brand authorization documents and product design drafts must be provided. The factory will verify the main qualifications of the brand owner to ensure that the cooperation meets the basic requirements of the "Regulations on the Supervision and Administration of Cosmetics".

In terms of funds and credit, factories generally require brand owners to provide corporate credit reports or past year statements to evaluate payment ability. The brand must have sufficient liquidity for the payment corresponding to the minimum order quantity for the first order. Most factories do not accept pure credit accounts, and the first cooperation generally adopts the "prepayment+final payment" model.

At the level of product positioning matching: The factory will determine whether its production line is suitable based on the product concept book, target customer profile, and price band positioning provided by the brand. For example, for the facial essence that claims the repair effect, the factory should have the corresponding emulsification and filling equipment and inspection capability; The skincare line that focuses on simple packaging requires the ability to integrate the packaging material supply chain.

2、 The supply access conditions that the brand must meet

If a brand wants to enter the qualified supplier system of a factory, it usually needs to meet the following conditions:

Minimum order quantity and delivery period: In the face care category, the minimum order quantity of essence liquid, face cream and other dosage forms generally ranges from 5000 to 10000 pieces, and the minimum order quantity of some imported raw material formulas is higher. The brand must accept the minimum order quantity provided by the factory and cooperate with the production schedule. In terms of delivery cycle, from formula confirmation, raw material procurement, production filling to finished product inspection, the regular cycle is about 20 to 45 working days, and the brand must reserve a reasonable inventory turnover time.

Formula and packaging material confirmation mechanism: The brand must provide a complete formula requirement document, including efficacy requirements, skin preference, anti-corrosion system requirements, etc. Multiple sample confirmations are required with the factory's R&D department for new raw materials or complex solutions. In terms of packaging materials, the brand must provide three-dimensional drawings of the container, material specifications, and sealing test data, and the factory will evaluate the filling adaptability based on this. Both parties must sign a formula confidentiality agreement and a packaging material specification confirmation letter.

Quality acceptance standards: The brand must provide product acceptance standards, specifying internal control indicators such as appearance, aroma, viscosity, pH value, and microbial limits. The factory inspection report must correspond one-to-one with the brand's standards. Both parties jointly confirm the sample retention plan, and retain samples of each batch of products for six months after the expiration date for traceability purposes.

Payment and settlement terms: For first-time cooperative factories, a deposit of 30% to 50% is generally required, and the remaining balance will be settled after the goods are inspected and the factory report is delivered. The brand must provide invoicing information and corporate accounts to ensure a standardized settlement process. Long term cooperation can be negotiated on a monthly or quarterly basis.

3、 Standardization promotion of cooperation process

After reaching a supply relationship, both parties will proceed with the following steps in sequence: signing a commissioned processing contract, clarifying the ownership of the formula, intellectual property rights, and quality responsibility division; Conduct three batches of trial production, and send each batch of products to a third-party inspection agency for a type inspection report; Confirm the packaging copy for product launch to ensure compliance with advertising laws and cosmetic labeling management measures; Complete the filing or registration of domestic ordinary cosmetics and obtain the filing certificate before they can be put on the market for sale.

Throughout the entire cooperation cycle, the brand and the factory need to maintain high-frequency communication. Any matters related to changes in raw materials, process adjustments, standard updates, etc. must be confirmed in writing and filed for record. Regularly conduct quality reviews, analyze market feedback and customer complaint data, and continuously optimize product consistency and stability.

Overall, the core of the supply relationship between facial care brands and cosmetics factories lies in the brand's clear business planning, compliant operating entities, reasonable minimum order quantity and payment ability, as well as respect and implementation of quality standards. Based on the contractual agreement and trust foundation, both parties jointly provide consumers with facial care products that meet regulatory requirements and have controllable quality. Collaboration is not achieved overnight, but rather through a gradual adjustment of three stages: sample confirmation, trial production verification, and mass production, ultimately forming a stable and sustainable supply chain partnership.
