The cooperation path and admission conditions between facial care chain brands and cosmetics factories
In the facial care industry, establishing a stable supply relationship between chain brands and upstream cosmetics factories is the fundamental guarantee for product quality and delivery efficiency. The cooperation between the two parties is not a simple transaction, but a systematic process that covers qualification review, R&D collaboration, quality control, and delivery management. This article will elaborate on the conditions and steps required to achieve cooperation.
1、 The basic conditions that brand owners need to possess
Legitimate business qualifications are a prerequisite for cooperation. The brand should provide a business license, trademark registration certificate or trademark usage authorization letter, as well as relevant registration certificates for cosmetics business. If the brand involves imported raw materials or special purpose products, corresponding approval documents or inspection and quarantine certificates are also required.
Clear product specifications and quality requirements are the foundation of communication. Brands need to clarify product formulation, fragrance, color, packaging material, capacity deviation range, shelf life and other parameters, and provide confirmed samples or color cards. For safety items such as microbial indicators and heavy metal limits, the internal control standards of the enterprise should be indicated.
Expected procurement volume and delivery pace help factories arrange production capacity. Brands should provide annual sales forecasts, quarterly rolling forecasts, and initial order quantities. Most factories have minimum order quantity requirements, and brands need to evaluate their own cash flow and warehousing capabilities to ensure that the order size matches the minimum production unit of the factory.
2、 Factory screening and admission evaluation
Brands should evaluate candidate factories from four dimensions: production qualifications, quality management system, capacity matching, and compliance records.
The factory must hold a cosmetics production license, and the license covers the required dosage forms for the brand. During the on-site audit, attention should be paid to the air purification level of the production workshop, the storage of raw materials and packaging materials in different zones, the process isolation of weighing, batching, filling and packaging, and the management system of the sample room.
In terms of quality management system, it can be checked whether the factory has established a complete process for raw material incoming inspection, semi-finished product inspection, and finished product factory inspection, whether it is equipped with conventional testing equipment such as pH meter, viscosity meter, moisture analyzer, microbial incubator, etc., and whether the original inspection records of each batch of products are retained.
The brand also needs to understand the existing customer structure and order saturation of the factory's cooperative customers. If the factory's similar product lines are already operating at full capacity, it may affect the trial production schedule and peak season supply stability of new products.
3、 Collaboration process and key nodes
After reaching a preliminary intention, both parties usually go through the following steps in sequence:
Sign confidentiality agreement and framework agreement. Before providing product formula ideas or reference samples to factories, brands should first agree in writing on the ownership and confidentiality scope of intellectual property rights.
Sample making and confirmation. The factory produces several sets of samples based on brand requirements, and the brand organizes internal evaluations and consumer trials. After screening, adjustment suggestions are proposed. This process may be repeated three to five times until the product's appearance, skin feel, aroma, and usage effect meet expectations.
Stability assessment and compatibility testing. After sample confirmation, accelerated aging tests are required to investigate the changes in product properties under high temperature, low temperature, light exposure, freeze-thaw conditions, and to evaluate the compatibility between the contents and packaging materials. The inspection period is usually eight to twelve weeks, and brands should reserve sufficient time.
Pilot production and scale-up validation. After the small-scale trial is stable, the factory will carry out pilot batch production according to the large-scale production process. The brand will supervise key process parameters on site and verify indicators such as filling net content, sealing and sealing, and label adhesion. The pilot product can only enter the mass production stage after passing the full inspection.
Sign a formal supply contract. The contract specifies the product name, specifications, unit price, minimum order quantity, delivery time, acceptance criteria, dispute handling method, and payment term. Simultaneously agree on quality guarantee deposit, handling methods for non-conforming products, and confidentiality clauses.
4、 Continuous management during the cooperation process
After establishing the supply relationship, the brand should establish a factory based follow-up or regular flight inspection mechanism to randomly check raw material inventory, production records, and inspection reports. Each batch of incoming goods needs to verify the factory inspection report and be sampled and sent to a third-party organization for type inspection.
In the face of formula adjustments, packaging material changes, or regulatory updates, both parties should maintain information exchange. The brand regularly provides feedback on market complaints and consumer usage data to the factory, assisting in optimizing process parameters; The factory promptly informs about fluctuations in raw material prices, changes in regulatory standards, and equipment upgrade plans, and negotiates with the brand to adjust the supply plan.
The relationship between brand and factory is a continuous match between standards and capabilities, needs and responses. Qualification compliance is the threshold, sample confirmation is the starting point, and stable supply relationships rely on process control, information transparency, and problem closure to maintain. Choose a suitable factory, and the brand needs to invest time in on-site inspection and product validation; Similarly, factories are willing to prioritize ensuring the production capacity resources of brand partners with high cooperation, strong planning, and clear communication. Both parties should establish a long-term collaboration mechanism based on respecting professional division of labor in order to provide stable product support for facial care chain stores.
