Promotion methods and conditions for establishing supply cooperation between cosmetics brands and factories

  • From product conception to market launch, most cosmetic brands require cooperation with factories that hold production qualifications in the production process. For brand owners, the stable operation of supply relationships depends on preliminary qualification verification, demand confirmation, sample sealing, contract constraints, and process communication. Based on practical work experience, the following will explain the conditions that need to be considered when establishing cooperation between brands and factories.


    1、 Verify the basic qualifications of the factory

    When the brand contacts the factory, it should first confirm whether the factory business license and cosmetics production license are within the validity period, and whether the scope of the license includes the categories planned to produce, such as general liquid unit, cream lotion unit, powder unit, aerosol unit, etc. The production address should be consistent with the address stated in the license. The factory can provide production management documents, recent product testing reports, and workshop environmental monitoring records established in accordance with ISO 22716 or GMPC requirements as evaluation references. Brands should not make decisions solely based on promotional materials, but may request on-site or video verification of production areas, storage conditions, weighing rooms, filling rooms, and sample retention rooms.


    2、 Clarify product requirements and minimum order quantity

    The brand needs to organize the product plan in advance, including dosage form, appearance status, skin texture direction, fragrance preference, packaging material structure, net content, target cost, and expected first batch quantity. There are differences in packaging material procurement, emulsifying pot capacity, and filling line debugging among different factories, resulting in different minimum order quantity requirements. During the inquiry stage, it is necessary to confirm in writing the sampling cost, sampling cycle, bulk lead time, minimum order quantity, whether the price includes tax and shipping, and whether partial payment is supported. If the first batch of the brand is lower than the factory's regular minimum order quantity, co production can be negotiated or the brand can purchase some packaging materials on its own, but quality responsibility and loss ratio need to be agreed upon in advance.


    3、 Sample development and standard sample confirmation

    The factory provides formula suggestions and samples based on demand. The brand should record sample differences on a round by round basis, including appearance, odor, color, application sensation, absorption speed, packaging compatibility, etc. After the initial stability of the sample, the factory can arrange small-scale and pilot tests to observe the emulsification state, filling accuracy, and batch consistency. The samples confirmed by both parties should be jointly sealed and signed as the basis for bulk acceptance. The raw materials used in the formula shall comply with the requirements of the list of used cosmetic raw materials, and prohibited components shall not be used. The brand can request the factory to provide a description of the source of raw materials, but the efficacy claims should be based on evidence and avoid using medical terminology or content that is inconsistent with the facts.


    4、 Sign a commissioned production contract and quality agreement

    A written contract should be signed before cooperation, covering product name, specifications, quantity, unit price, delivery time, payment method, acceptance criteria, breach of contract liability, intellectual property ownership, etc. The ownership of the formula, notification of changes in raw materials, and prohibition of unauthorized modification of the formula must be clearly stated. Simultaneously sign a quality agreement, specifying the factory's responsibilities in production process control, factory inspection, sample management, handling of non-conforming products, and product traceability. The brand owner, as the registrant or filer, bears the main responsibility for product quality and safety and cannot be transferred due to commissioned production. The contract should stipulate the handling methods for situations such as price increases of raw materials or packaging materials, regulatory adjustments, and order cancellations.


    5、 Coordination between filing materials and label information

    Product filing or registration requires the factory to provide production enterprise information, production equipment list, process description, formula ratio, raw material safety information, etc. The brand is responsible for verifying the label content to ensure that there are no medical terms or false claims. The name, address, and production license number of the manufacturing enterprise in the label should be consistent with the actual information of the factory. Both parties should establish a data update mechanism to synchronize in a timely manner when regulations or factory information change.


    6、 Mass production and after-sales management

    Before mass production, first article confirmation can be arranged to check the packaging material color, printing content, net content, batch number, spray code, shrink film effect, etc. After arrival, the brand shall conduct random inspections according to the sealed samples and contract standards, and any problems found shall be raised in writing within the agreed period. The factory needs to cooperate in handling batch differences, quality complaints, and traceability investigations. It is suggested that both parties establish a batch correspondence table to record the raw material batch, production date, inspection report, and shipping flow of each batch of products for easy retrieval and recall.


    From the perspective of actual promotion, establishing a supply relationship between a brand and a factory is not something that can be achieved with a single order, but requires the interconnection of multiple links such as qualifications, demand, samples, contracts, filing, and after-sales service. Clear conditions, complete records, and clear responsibilities are necessary for cooperation to gradually enter a stable state, leaving room for subsequent product iterations and new product development.
