As a cosmetics brand, how to establish a cinema line skincare supply cooperation with makeup brand factories

  • We are a cosmetics brand preparing to launch cinema skincare products. Cinema skincare products are sold through channels such as beauty salons, but their product attributes are still cosmetics and need to be managed according to makeup brand rules. Collaborating with factories is not just about negotiating prices and minimum order quantities, but about first addressing four issues: qualifications, compliance, quality, and supply stability.

Firstly, the brand must first meet the conditions for cooperation. We need to have a legal business license that covers the sales of cosmetics or related businesses; Determine product category, dosage form, specifications, packaging form, target channels, and budget; Prepare trademark registration certificate or authorization documents; Clarify the principal entity for the purpose of handling product filing or registration. If the brand does not have a production license, it usually cooperates with factories that have makeup brand production licenses as the commissioning party.

Secondly, review the factory's qualifications. The factory should hold the cosmetics production license, and the licensed items cover the categories and dosage forms we plan to produce, such as cream lotion, water, facial mask, etc. The factory needs to be able to provide quality management system documents, production and inspection record templates, sample retention and traceability systems, and adverse reaction monitoring processes. We also need to understand its raw material procurement, filling, packaging, warehousing, and transportation conditions to confirm that it can deliver steadily according to orders. If the product involves special cosmetics, the factory needs to have corresponding registration and production experience.

Thirdly, product compliance is a prerequisite for cooperation. Ordinary cosmetics need to be registered, while special cosmetics need to be registered. The raw materials used in the formula must comply with the list of used raw materials, and the safety information, execution standards, and inspection reports of the raw materials should be complete. Labels must not contain medical terms, expressions prohibited by regulations, or content that does not comply with regulations; The efficacy claim needs to be based on evidence. The cinema channels cannot promote the effects of treating or repairing diseases, and can only describe the compliant effects of cleaning, moisturizing, and beauty modification according to cosmetics regulations.

Fourthly, establishing a supply relationship requires documents and conditions. Both parties sign a commissioned production contract, specifying the product name, formula ownership, order quantity, price, payment method, delivery time, acceptance criteria, packaging material responsibility, loss ratio, return and exchange, and breach of contract liability. Simultaneously sign quality agreements, confidentiality agreements, and intellectual property clauses to determine who owns the formula, trademark, design draft, and customer information. The brand needs to provide filing materials, label samples, and packaging documents; The factory is responsible for producing, inspecting, retaining samples, and releasing them according to the confirmed samples. The minimum order quantity, sampling fee, filing service fee, testing fee, and minimum order quantity for packaging materials must be negotiated in advance.

Fifth, the cooperation process can be promoted as follows: requirement communication, qualification mutual review, formula sampling, confirmation of skin texture and stability, completion of filing or registration, confirmation of packaging materials and labels, scheduling, process inspection, finished product inspection, release for shipment, and after-sales tracking. The cinema channel can also prepare usage instructions, precautions, display materials, and training materials, but the content must be compliant and cannot guarantee effectiveness.

When choosing a factory, we should consider its licensing scope, quality records, delivery capabilities, and cooperation, and not rely on verbal promises. After establishing the supply relationship, regular audits, sample comparisons, customer complaint handling, and change management are also required. Only when both the brand and the factory comply with regulations and contracts can the supply cooperation of cinema skincare products continue.
