  • As a brand company, when we decide to launch shampoo, cooperating with factories is not just about placing orders, but also involves qualifications, formulas, filing, packaging materials, quality control, and business. First, organize your own needs, and then proceed according to the process.

1、 Clearly define product requirements. Determine the target population, hair type, usage scenario, capacity, fragrance type, material color, consistency, foam feeling, price band and channel. Online or offline, single bottle or set, will all affect packaging materials and minimum order quantity. The clearer the demand, the more reliable the factory quotation and sampling will be.

2、 Prepare brand information. Usually, a business license, trademark registration certificate or acceptance notice, and brand authorization are required. If the brand owner acts as the registrant, they also need to have information such as a quality and safety manager; If the factory is entrusted for filing, the responsibilities of both parties should be clearly defined. Confirm the trademark category and status in advance to avoid any rights issues after packaging and printing.

3、 Verify factory conditions. Check the business license and cosmetics production license to confirm that the scope of the license covers shampoo products. Understand the production workshop, equipment, quality management documents, sample retention system, and testing arrangements. May request the provision of quality inspection report templates, raw material compliance information, and experience in filing coordination. Whether the factory is familiar with the registration process for ordinary cosmetics will affect the pace of market launch.

4、 Promote formula and sampling. The factory can provide existing formulas or adjust them according to demand. Confirm the ingredient list, essence, antiseptic system, pH value, viscosity, stability and packaging compatibility. After receiving the samples, conduct internal trial and basic testing, record any issues, and then make adjustments. Confirm the sample fee, frequency, confirmation standards, and sealing method during the sampling stage.

5、 Discuss packaging materials and orders. Packaging materials include bottle body, pump head, inner stopper, label, outer box, and cardboard box. Confirm the material, printing, process, minimum order quantity, delivery time, and acceptance criteria. In business, inquire about material costs, processing fees, packaging fees, filing and testing fees, shipping fees, taxes, and mold opening fees. The first batch quantity, return cycle, payment method, deposit and final payment milestones shall be included in the contract.

6、 Signing contracts and quality control. The contract should include quality agreement, confidentiality, intellectual property, formula ownership, delivery, acceptance, non conformance handling, breach of contract liability, and after-sales service. Each batch of production must be recorded, with samples retained as agreed, and quality inspection reports provided. Labels should be reviewed according to regulations, without mentioning medical effects or using inappropriate words. The filing information should be consistent with the actual product.

7、 Continuous cooperation. After the product is launched, arrange for return orders or adjustments based on feedback. Formula changes, packaging material replacements, and record updates all need to be communicated synchronously. Maintaining stable communication with the factory is more beneficial for long-term supply than a single price reduction.

In short, to establish a supply relationship between the brand and the factory, it is necessary to clarify requirements, verify qualifications, confirm formulas, complete filing, lock in packaging materials, negotiate business, and manage quality control. Putting every step into the documents and samples makes cooperation more controllable.
