Customized OEM of soothing essence solution: how the brand selects factories and promotes cooperation
For cosmetic brands, finding a contract manufacturer with production conditions that meet the standards is a crucial step in transitioning products from concept to physical form. Especially for the category with relatively complex formula system, such as soothing essence liquid, the factory's R&D capability, production specifications and coordination degree directly affect the quality and marketing rhythm of the final product. The following outlines the reference points for brand owners in the factory selection process from three dimensions: capability assessment, cooperation conditions, and processes.
1、 Reference dimensions for assessing factory capabilities
Production qualification and hardware level
First, check the Cosmetics Production License of the factory to confirm that the licensed items include "essence liquid" or "general liquid unit". During on-site visits, observe the air purification system in the production workshop, the automation level of the filling line, and the temperature and humidity control records of the raw material and finished product warehouses. Pay attention to whether the factory has reverse osmosis pure water treatment equipment, because the water quality has a direct impact on the stability of essence solution.
R&D and formula reserve
Communicate with the R&D manager of the factory to understand if there are any soothing basic frameworks that have passed stability testing in their formula library. Can you inquire about common ingredient combinations for soothing skin irritation reactions (such as centella asiatica extract, panthenol, β - glucan, etc.) and whether the factory has experience using them. Request to review third-party testing reports of similar products in the past, with a focus on whether microbiological, heavy metal, and other indicators are compliant, as well as the results of anti-corrosion challenge tests.
Quality Control System and Traceability
Check if the factory has established a full process inspection record from raw material entry to finished product delivery. Understand whether it is equipped with commonly used detection equipment such as pH meter, viscosity meter, centrifuge, etc. Inquire about the process for handling non-conforming products, and whether each batch of products can be traced back to the specific production date, operating team, and raw material batch through batch number.
Sample compatibility and response efficiency
At the time of initial contact, a clear proofing demand can be put forward (for example: soothing essence containing a specified plant extract, the target skin feeling is refreshing), observe whether the factory can provide samples within the specified time, and take the initiative to attach preliminary recipe ideas. The smoothness of communication and the speed of correction during the sampling process are reference indicators for judging the tacit cooperation.
2、 Cooperation conditions and negotiation points
Minimum order quantity and pricing system
Specify the minimum order quantity requirements of the factory for soothing essence, which is usually calculated in kilograms or finished bottles. Understand whether the price structure includes formula fees, sampling fees, mold fees, testing fees, and packaging and assembly fees. Inquire about the unit price gradient for different order quantity ranges and the calculation method for packaging material loss rate.
Intellectual Property and Confidentiality Agreement
Confirm ownership of the formula. The brand may require the factory to sign a Confidentiality Agreement and a Formula Ownership Agreement, which stipulate that the factory shall not provide formulas specifically developed for the brand to other customers. At the same time, clarify the copyright ownership of the packaging design draft.
Payment terms and delivery cycles
Communicate the payment ratio for regular orders (such as 30% -50% advance payment and final payment before shipment), understand the standard lead time from order placement to delivery, and potential delay risks during peak seasons. Confirm whether the factory accepts third-party inspection or on-site sampling.
3、 The standard steps of the collaboration process
Requirement communication and formula proposal
The brand direction factory provides product positioning, target skin feel, efficacy direction, and budget range. The factory submits 1-2 formula proposals based on their own experience, along with the name of the raw material INCI, suggested addition amount, and preliminary cost estimate.
Sample making and internal testing
The factory provides samples, and the brand conducts skin sensation testing, pH measurement, and small-scale usage observation on their own. If necessary, the sample can be sent to a third-party organization for anti-corrosion effectiveness testing or stability testing (high and low temperature cycling). This stage may require multiple adjustments to the formula.
Sign contract and confirm packaging materials
After reaching an agreement on the formula, price, and delivery time, both parties will sign a contract for commissioned processing. The brand provides or designates packaging material suppliers, and the factory conducts incoming material inspection and packaging material testing to confirm filling compatibility.
Trial production and mass production
Arrange small-scale trial production (usually 5% -10% of the formal order quantity), and the brand side will confirm the filling capacity, sealing performance, and label fitting effect on site. After the trial production is qualified, it enters the mass production stage.
Inspection and settlement
After the finished product is produced, the brand can conduct acceptance according to the agreed sampling standards. After verifying the quantity, appearance, and batch number information, the final payment will be made. The factory will arrange for shipment and provide copies of production records and inspection reports simultaneously.
Choosing a suitable OEM partner requires the brand to invest time in on-site inspections and sample testing in the early stages, and to establish all conditions in writing. Rational evaluation and meticulous communication can help establish long-term stable cooperative relationships and provide guarantees for product quality.
