Whether a sustained and stable supply cooperation can be established between the two depends on a series of verifiable and manageable conditions. These conditions are not only an examination of the factory's production capacity, but also a test of the chain brand's own operational maturity.


    1、 The foundation of cooperation: mutual confirmation of qualifications and compliance


    The starting point of any supply relationship lies in the mutual verification of qualifications within the legal framework. Chain brands are required to provide their factories with business licenses, commercial registration certificates, and brand trademark registration documents; The factory needs to present the cosmetics production license, corresponding product filing or registration certificate, and a recent type inspection report issued by a third-party organization. The core of this stage is to complete the "compliance table" - the brand sorts out the compliance requirements of its own sales categories, and the factory confirms whether its production license scope can cover these categories. For example, if the brand plans to launch ampoule products, the scope of factory license should include "unit: general liquid unit (with facial mask, skin care water production conditions)". At this stage, both parties will form a list of available supplier qualifications as a prerequisite for subsequent product selection.


    2、 The threshold for cooperation: negotiation of minimum order quantity and delivery cycle


    The factory's production scheduling logic is based on efficiency and cost, which determines two hard indicators in cooperation: minimum order quantity (MOQ) and delivery cycle. For brand owners, it is necessary to calculate their own purchasing economic batch based on the number of stores, monthly average consumption per store, and safety stock days. For example, if a chain brand with 20 direct stores consumes 40 bottles of certain essence every month, the total monthly consumption will be 800 bottles. Brands can propose a commitment of "rolling purchase quantity for 3 months" to the factory as a basis for negotiating a reasonable minimum order quantity for a single batch, such as 2000 bottles. At the same time, the delivery cycle should specify the time limits for each link: raw material procurement cycle, production scheduling, filling and packaging time, inspection and release time, and logistics transportation days, and agree on a tiered compensation plan for delayed delivery.     3、 The stickiness of cooperation: R&D cooperation and feedback loop


    What distinguishes ordinary buying and selling from supply cooperation is whether the factory has the ability to technically transform the brand's product proposals. Based on the analysis of skin type data from store customers (such as dryness, pigmentation, aging, and other dimensions of improvement needs), the brand has developed a new product development concept book. The factory needs to provide 1-2 sampling plans and corresponding stability test data based on its own raw material library and mature formula platform within 15 working days. The brand will conduct a 4-week experience test on these samples in specific stores, collect no less than 30 consumer self-assessment questionnaires and skin instrument testing data, and form a feedback report. The factory made minor adjustments to the formula based on this report. Both parties shall negotiate and determine the annual number of new product developments and the mechanism for periodic technical review meetings, in order to define the depth of R&D collaboration.


    4、 Guarantee of Cooperation: Responsibility Allocation and Exception Handling


    The supply relationship must cover the definition of responsibility when risks occur. Both parties shall specify in the contract that if the finished product is found to be unqualified due to quality issues with the raw materials themselves, the factory shall bear the responsibility for recall and remanufacturing; Any problems caused by improper storage or incorrect packaging design provided by the brand shall be the responsibility of the brand. It is necessary to agree that the inspection of finished products shall be based on the principle of "joint sealing and retention of samples by both parties", and to clarify the handling procedures in case of microbial exceedance, inconsistent content of active substances, and other situations. At the same time, the factory needs to open up production site audits, and the brand should conduct a flying inspection every six months to ensure the compliance of the production process.
