The cooperation path and admission conditions between facial care chain and makeup brand factories

  • Facial care chain stores and makeup brand factories need to establish a supply relationship, and both parties need to form a closed loop between regulatory framework and business logic. The prerequisite for achieving cooperation is that the chain brand has a verifiable business foundation, the factory has compliant production capacity, and matches are formed in quality control, delivery, and research and development.

Factory side: Compliance is the ticket to entry, flexibility is a bonus point

Makeup shop must have a cosmetics production license, and the licensed items include "general liquid unit" or "cream lotion unit" and other corresponding categories. The factory is required to provide factory inspection reports for each batch of products, as well as third-party type inspection reports, based on the "Cosmetic Safety Technical Specification". For the cleaning, moisturizing, and repairing products commonly used in facial care stores, factories should also have historical data accumulation for anti-corrosion challenge testing and stability testing.

During the cooperation negotiation stage, factories usually require chain brands to provide business licenses, proof of store premises, brand trademark registration certificates, or acceptance notices. If a chain store involves the use of products in facial care services, the factory will also verify the store's hygiene license or life beauty service filing certificate to ensure that the product usage scenario complies with the business scope.

Chain brand side: Volume determines bargaining space, quality control ability determines cooperation depth

When evaluating a chain brand, factories will focus on three quantitative indicators: the number and regional distribution of stores, the average monthly product consumption per store, and the stability of the ordering cycle. If the number of new chain brands is less than 5, factories often require full payment in advance or increase the minimum order quantity; Brands with over 30 stores and distributed across provinces and regions may receive payment support from the factory.

Chain brands need to submit a product demand list to the factory, specifying the target retail price range, packaging material requirements, and material texture characteristics for each individual item. The factory provides a formula framework and sampling cycle based on this. During the sampling stage, the chain brand should arrange internal experience testing and collect feedback data from no less than 30 users of different skin types as the basis for adjusting the formula.

The process and document requirements for establishing supply relationships

After reaching an agreement, both parties will sign a confidentiality agreement, a framework procurement contract, and a single item commissioned production contract in sequence. The contract must specify: ownership of the material formula, ownership of the packaging material mold, minimum order quantity and tiered price, delivery cycle and liability for breach of contract, time limit for handling quality objections and agreement with the re inspection agency.

Chain brands need to assign a dedicated person to coordinate the factory's production schedule, submit quarterly rolling forecasts 45 days in advance, and confirm the availability of packaging materials 15 days before production. The factory needs to attach a qualified release form to each batch of products when they leave the factory, and the chain brand should complete the appearance and net content sampling within 7 working days after receiving the goods. Both parties should keep samples for future reference.

    Supporting conditions for long-term cooperation

The stability of the supply relationship does not rely on a single transaction, but on the establishment of an information exchange mechanism between both parties. Chain brands provide monthly feedback to factories on the product consumption rate of each store, high-frequency vocabulary feedback from customers after use, and changes in texture preferences due to seasonal changes. The factory adjusts the fragrance, consistency, or packaging specifications accordingly, forming a cycle of improvement.

Both parties also need to agree on an annual product review mechanism to jointly evaluate whether the existing formula needs to be adjusted based on the cosmetic sampling notice and new raw material prohibition notice released that year. Newly opened stores of chain brands require prior notification to the factory in order to adjust the total supply quantity; The upgrading or relocation of the factory's production line also requires prior notice to the brand, leaving a buffer period for stocking.

In the end, the essence of cooperation is that chain brands use store counters and customer skin data as the "demand side", while factories use formula development and canning capabilities as the "supply side", and both ends are calibrated through orders, standards, and feedback. The higher the accuracy of calibration, the more durable the supply relationship is for periodic testing. When conditions are complete, cooperation naturally occurs; If the conditions are lacking, they need to be supplemented first before discussing the long-term. This is not a matter of choice, but a matter of ability matching.
