Company entity and trademark registration certificate: Factories usually require the cooperating party to be a general taxpayer enterprise and provide a business license and trademark registration certificate (or acceptance notice). If it is commissioned processing, the trademark usage rights need to be clearly defined.
Product filing/registration responsible person: According to the new regulations, cosmetics filing must be completed before each product is launched. Although the filing work can be assisted by the factory, the filing person must be the brand owner or the domestic responsible person. You need to designate a dedicated person to be responsible for the review and submission of product safety assessment materials, formula process descriptions, and other documents.
Clarify product positioning and cost range: The factory needs to calculate the material cost, packaging cost, and processing fee based on your expected selling price. It is recommended to carry a preliminary Product Requirements Specification, including use scenarios (such as facial massage and body care), texture preferences (cream, gel or ointment), flavor tendency and estimated order quantity, so that the factory can evaluate the suitability of the production line.
Step 2: Select factories and establish technical connections
The production capacity of makeup factories varies greatly, with some specializing in emulsification systems and others focusing on specific effects. Before establishing a supply relationship, it is recommended to follow the following steps:
Qualification inspection: ask for the Cosmetics Production License of the factory, and confirm that the licensed items include "cream lotion". Formula communication and sampling: This is the core link in establishing cooperation. Raw material sources and sample retention system: In the commissioned processing contract, list the suppliers and specifications of key raw materials (such as oil grades and types of preservatives). You can conduct regular spot checks and send samples for comparison and verification by yourself.
Acceptance criteria and objection handling: Both parties jointly confirm the "Finished Product Inspection Standard Book", which covers appearance, aroma, pH value, heat and cold resistance stability, and microbial indicators. If there are any defects after receiving the goods, written feedback must be provided within the agreed time (such as 7 working days), and the handling terms for third-party testing agency intervention shall be retained.
Confidentiality and Production Assurance: Sign a confidentiality agreement to protect your formula combination and marketing strategy. At the same time, it is important to stipulate in the contract a "priority allocation of property rights" or an "annual framework agreement" to ensure that the production line is not squeezed by other customers during peak seasons, which is an important guarantee for long-term stable supply.
Finally, pay attention to after-sales and iteration space
Supply relationships are not one-time transactions. Whether the factory can maintain consistency in color difference and consistency between batches of materials in subsequent batches, and whether they are willing to cooperate with you to fine tune the fragrance or packaging structure based on market feedback, determines the depth of cooperation. Suggest arranging a review meeting after the first batch of bulk deliveries to provide feedback on details such as filling loss rate and label fitting accuracy.
